These Terms of Use govern your use of the MyAdminMate mobile application and related services provided by MyAdminMate Limited. By creating an account, downloading the app, or using the services, you agree to these Terms.
1.1 MyAdminMate is a productivity platform for contractors, tradespeople, surveyors, and related businesses. It helps with job notes, quotations, estimates, invoices, expenses, voice-based data entry, customer management, and AI-assisted workflows.
1.2 The service is a productivity tool only. It is not professional legal, accounting, tax, engineering, or financial advice. You remain responsible for checking all records, quotes, invoices, and filings you create with the service.
2.1 The service is intended for business use by sole traders, partnerships, limited companies, and other commercial users. You confirm that you are at least 18 years old, have authority to bind yourself or your business, and will use the service only for lawful business purposes.
3.1 These Terms, together with any documents expressly referred to in them (including our Privacy Policy), constitute the entire agreement between you and us with respect to your use of the service and supersede any previous agreement, arrangement, or understanding between us.
3.2 You acknowledge that you have not relied upon any statement, representation, warranty, assurance, or promise made by or on behalf of us that is not set out in these Terms, and that you shall have no claim for innocent or negligent misrepresentation or negligent misstatement based upon any statement in these Terms.
4.1 You are responsible for maintaining the confidentiality of your login credentials, all activity under your account, and keeping your contact details accurate. You must tell us promptly if you believe your account has been compromised.
5.1 Certain features require a paid subscription. Prices are shown in the relevant app marketplace at the time of purchase. Subscriptions automatically renew unless cancelled at least 24 hours before renewal, subject to the rules of the applicable marketplace.
5.2 Payments, cancellations, refunds, and price changes are governed primarily by the Apple App Store, Google Play Store, or other approved payment provider used for the purchase. You may cancel through your app marketplace account settings.
6.1 We or our marketplace partners may offer free trials or promotional access. Unless cancelled before the end of the trial period, your subscription may convert to a paid subscription at the then-current price.
7.1 You retain ownership of content you upload, create, or generate through the service, including quotes, invoices, expense data, photos, documents, voice recordings, transcripts, customer information, and project information.
7.2 You grant us a worldwide, non-exclusive, royalty-free licence to host, store, transmit, process, and display your content only to the extent necessary to provide, maintain, secure, and improve the service.
8.1 If you upload personal data about your own customers, suppliers, employees, or other third parties, you are the data controller and MyAdminMate acts as data processor for that personal data. You warrant that you have a lawful basis to upload and process that data.
8.2 We process customer data on your instructions, apply appropriate technical and organisational measures, use sub-processors listed in our Privacy Policy, notify you of relevant personal data breaches, assist with data subject requests where appropriate, and delete or return personal data on termination unless retention is required by law.
9.1 The service uses artificial intelligence and speech-to-text technologies provided by third parties, including OpenAI, Anthropic, and Google. Your audio, images, and text inputs may be transmitted to those providers for processing. AI-generated outputs may contain inaccuracies, omissions, or unexpected results, and you must review them before use.
10.1 You must not misuse the service, attempt unauthorised access, interfere with security, upload unlawful or infringing content, use the service to harm others, reverse engineer the app except where law permits, or use the service in breach of applicable law.
11.1 MyAdminMate, the app, website, software, branding, designs, and platform technology are owned by MyAdminMate Limited or our licensors. Except for your content, no rights are transferred to you other than the limited right to use the service under these Terms.
12.1 We aim to keep the service available, but we do not guarantee uninterrupted or error-free operation. We may modify, suspend, or discontinue features where reasonably necessary, including for security, maintenance, legal compliance, or service improvement.
13.1 The service is provided on an "as is" and "as available" basis to the fullest extent permitted by law.
13.2 Nothing in these Terms seeks to limit or exclude our liability for death or personal injury caused by our negligence (including that of our employees, agents, or sub-contractors); for fraud or fraudulent misrepresentation; or for any other matter in respect of which liability cannot be excluded or restricted by law.
13.3 Subject to the paragraph above, we will not be liable to you, whether in contract, tort (including negligence), breach of statutory duty, or otherwise, for any loss of profit, loss of business, interruption to business, loss of business opportunity, loss of anticipated savings, loss of or damage to data, or for any indirect or consequential loss arising out of or in connection with these Terms or your use of the service.
13.4 Subject to the paragraph above on non-excludable liability, our total liability to you for all other losses arising out of or in connection with these Terms or your use of the service, whether in contract, tort (including negligence), breach of statutory duty, or otherwise, shall not exceed the total subscription fees paid by you in the 12 months immediately preceding the event giving rise to the claim.
14.1 We will not be liable for any failure or delay in performing our obligations where that failure or delay results from any cause that is beyond our reasonable control. Such causes include, but are not limited to: power failure, internet service provider failure, failure of third-party hosting or telecommunications networks, industrial action by third parties, civil unrest, fire, explosion, flood, storms, earthquakes, subsidence, acts of terrorism, acts of war, governmental action, epidemic or other natural disaster, or any other event that is beyond our reasonable control.
14.2 If any such event occurs that is likely to affect our performance of any of our obligations under these Terms, we will inform you as soon as is reasonably possible, and our affected obligations will be suspended for the duration of the event, with any time limits extended accordingly.
15.1 Our collection and use of personal data is described in our Privacy Policy, which forms part of these Terms by reference.
16.1 You may stop using the service at any time. We may suspend or terminate access if you breach these Terms, create security risk, misuse the service, fail to pay applicable fees, or where required by law.
17.1 We always welcome feedback from our customers and, whilst we always use all reasonable endeavours to ensure that your experience as a customer of ours is a positive one, we nevertheless want to hear from you if you have any cause for complaint.
17.2 If you wish to complain about any aspect of your dealings with us, please contact us at support@myadminmate.com and we will do our best to resolve the matter promptly. If your complaint relates to our handling of your personal data, you also have the right to contact the Information Commissioner's Office, as set out in our Privacy Policy.
18.1 We may transfer (assign) our obligations and rights under these Terms to a third party (this may happen, for example, if we sell our business). If this occurs, you will be informed by us in writing. Your rights under these Terms will not be affected and our obligations under these Terms will be transferred to the third party, who will remain bound by them.
18.2 You may not transfer (assign) your obligations and rights under these Terms without our express written permission.
18.3 Save as expressly provided in the Apple App Store and Google Play additional terms below, these Terms are between you and us. They are not intended to benefit any other person or third party, and no such person or party will be entitled to enforce any provision of these Terms.
18.4 If any of the provisions of these Terms are found to be unlawful, invalid, or otherwise unenforceable by any court or other authority, that or those provision(s) shall be deemed severed from the remainder of these Terms. The remainder of these Terms shall remain valid and enforceable.
18.5 No failure or delay by us in exercising any of our rights under these Terms means that we have waived that right, and no waiver by us of a breach of any provision of these Terms means that we will waive any subsequent breach of the same or any other provision.
19.1 We may update these Terms from time to time. Where a change is material, we will give reasonable notice by in-app notice, email, or both before it takes effect. Continued use after the effective date constitutes acceptance.
20.1 These Terms are governed by the laws of England and Wales. The courts of England and Wales have exclusive jurisdiction to settle disputes arising from these Terms.
21.1 If you obtained the app from Apple's App Store, these additional terms apply:
21.1.1 These Terms are concluded between you and MyAdminMate Limited only, not with Apple. Apple is not responsible for the app or its contents.
21.1.2 The licence granted to you is a non-transferable licence to use the app on Apple-branded devices you own or control, as permitted by the Apple Media Services Terms and Conditions, including Family Sharing or volume purchasing where applicable.
21.1.3 MyAdminMate Limited is solely responsible for app maintenance and support. Apple has no obligation to provide maintenance or support.
21.1.4 MyAdminMate Limited is solely responsible for warranties to the extent not effectively disclaimed. If the app fails to conform to an applicable warranty, you may notify Apple and Apple will refund the app purchase price, where applicable. To the maximum extent permitted by law, Apple has no other warranty obligation.
21.1.5 MyAdminMate Limited, not Apple, is responsible for addressing claims relating to the app or your use of it, including product liability, legal or regulatory compliance, consumer protection, privacy, or similar claims.
21.1.6 If a third party claims that the app or your possession and use of it infringes intellectual property rights, MyAdminMate Limited, not Apple, is responsible for investigation, defence, settlement, and discharge of that claim.
21.1.7 You represent and warrant that you are not located in a country subject to a US Government embargo or designated by the US Government as a "terrorist supporting" country, and that you are not listed on any US Government prohibited or restricted party list.
21.1.8 You must comply with applicable third-party terms when using the app.
21.1.9 Questions, complaints, or claims should be directed to MyAdminMate Limited at the contact details above.
21.1.10 You and MyAdminMate Limited acknowledge that Apple and Apple's subsidiaries are third-party beneficiaries of these Terms and may enforce these Terms against you as third-party beneficiaries.
22.1 If you obtained the app from the Google Play Store, these additional terms apply:
22.1.1 These Terms are concluded between you and MyAdminMate Limited only, and not with Google. Google is not responsible for the app or its contents.
22.1.2 Your use of the app must comply with the Google Play Terms of Service and any other applicable Google policies.
22.1.3 Subscriptions purchased through Google Play are billed and managed by Google in accordance with the Google Play terms. Cancellations and refunds are handled through your Google Play account, subject to Google's rules.
22.1.4 Google is not responsible for providing maintenance or support for the app. MyAdminMate Limited is solely responsible for the app, including support, warranties (to the extent not effectively disclaimed), and any claims relating to the app or your use of it.
22.1.5 You must comply with applicable third-party terms when using the app.
